A day in the life of an Apprentice Sales Coordinator

Ruby tells us what her day as an Apprentice Sales Coordinator looks like

9am – Log in, check the New Homes Inbox, and respond to any generic enquiries – this includes sending development brochures, answering any queries about release dates, Help to Buy South, and what we have available/upcoming etc. I also start answering first calls of the day and call back any voicemails left from the previous day, these could be a mixture of customer enquiries or surveyors requesting access for mortgage valuations.

10am – Starting to filter out enquiries and applications to the sales consultants, I work through these enquiries based on the area and type of enquiry and then colour coordinate for the sales consultants to pick up and go back to. 

11am – Start checking personal inbox and adding any tasks to the coordinator jobs list, which I then start working through. I create offer letters by entering property and customer details -which I then send to the customer along with plans, important information and forms for them to complete on acceptance. I will also instruct our solicitors which the starts the conveyancing process. After any of these tasks are complete, I must update relevant files and our software system with customers’ information.

12pm – Lunch 

1pm – From lunch I will check the New Homes inbox and respond to any new general enquiries, also calling back any voicemails. I will also filter any new enquiries/applications to the relevant sales consultants for them to pick up on return. 

2pm – If any Plots have completed, I will create new tenancies on our computer systems which involves inputting information and customer details, I also have to set up new agreements. From completion I will set up Direct Debits, update utility suppliers with handover and completion meter readings, and raise and approve any relevant purchase orders for payment. This is to ensure the handover of homes to our new customers is as straightforward as possible. 

3pm – Call or respond to any mortgage valuation companies and book in appointments, this also includes sending CML’s and plans to surveyors. I will then update relevant plots with these dates on our software. 

4pm – Sending agenda for our team meeting and booking it in on Teams, this involves feedback from managers and other team members on what matters need to be brought up in our team meeting. I will also send empty unit checks to the sales consultants. Grass cuts may also need doing for relevant plots which I will arrange and then update the external contractors. 

4:30pm – Start winding down for the day checking any emails and voicemails are dealt with. I then look at creating a jobs list for the next day.

5pm – Log off for the day.
